Number Of Conformed Copies Needed

  1. 3 For The Contractor Along With 3 Sets of Plans
  2. 1 For The Resident Project Representative
  3. 1 For The Engineer
  4. 1 For The Office Copy

When only five (5) contracts are made, use Roman Numerals for numbering. Number the contracts on the front cover under the window. On the Front Cover of the Contracts, stamp "Contracts" above the window, stamp both Engineers' seals, number and state who the Contract belongs to (Owner's, Contractor's, Attorney's, etc.). On the front cover of the Conformed Copies stamp "Conformed Copies" above the window, stamp both Engineers' seals and state who the copy belongs to. CONTRACTS HAVE ORIGINAL SIGNATURES (executed). CONFORMED CONTRACTS CAN BE COPIES, AND WILL NOT HAVE INSURANCE CERTIFICATES AND COMPLETED BONDS (No Power of Attorney).

If the bidder's return specifications, that are not marked up, the General Conditions and Technical Specifications can be used for the conformed copies.

Send three (3) copies of the bid package to OPC with cc: to Mayor & Attorney, within 10 days of the bid date, consisting of:

  1. Proof of Publication of Advertisement for Bids
  2. Certified copy of bid tabulation
  3. Certified copy of proposal of the successful bidder
  4. Copy of Bid Security
  5. Certified Copy of Resolution of Conditional Award
  6. Copy of Project Review & Cost Summary
  7. Contractor's Construction & Outlay Schedules
  8. Resume( s) of proposed RPR
  9. Write Mayor recommending award be made to low bidder
  10. Contractor's Certification of Debarred Firms
  11. Owner's Certification of Debarred Firms
  12. Letter to EEO\MBE Coordinator enclosing EEO documents.

MBE documentation from low bidder must be received by us within 10 days. We must send MBE documentation to OPC within 14 days of receiving bids. After approval of MBE/WBE documentation send the bidder, bonds, agreement, etc. 14 days after bid opening - check to see that we did receive a copy of the required EEO documentations that the successful bidder submitted to OPC.

Be sure 3 cc: of the site certificates (if applicable) has been sent to OPC After approval of bids & money from OPC, set pre-construction conference date.
